Role Purpose
This role provides highlevel executive support to the Chief Technology Officer while
ensuring the smooth and efficient running of the office. It combines proactive diary
and communications management with handson administrative coordination,
supporting both strategic technology initiatives and daytoday operational needs,
Based within our Glasgow city centre office as a hybrid role - with 3 days based from
office.
Key Responsibilities
Office Management

Oversee day‑to‑day office operations, ensuring an organised and efficient environment.

Manage office supplies, equipment, and vendor relationships.

Coordinate onboarding logistics for new starters, including desk setup and access requests.

Support health & safety compliance and maintain relevant records.

Assist with organising company events, workshops, and team meetings.
Executive Support

Manage the CTO’s diary, scheduling, travel arrangements, and meeting logistics.

Co-ordinate briefing packs, presentations, and documentation for internal and external meetings.

Act as the primary point of contact for the CTO, filtering communications and prioritising actions.

Support project coordination, tracking actions and maintaining visibility of key milestones.

Handle confidential information with discretion and professionalism.
Communication & Coordination

Facilitate communication between the CTO, engineering teams, senior leadership, and external partners.

Draft correspondence, announcements, and internal updates on behalf of the CTO.

Maintain accurate records, filing systems, and documentation repositories.
Process & Operational Support

Support implementation of technology and operational processes across the organisation.

Track and report on key activities, actions, and deliverables for the CTO’s office.

Identify opportunities to streamline workflows and improve administrative efficiency.

Skills & Experience
Essential
-
Proven experience as a PA, EA, or senior administrator supporting director‑level leadership.

Strong organisational skills with the ability to manage multiple priorities.

Excellent written and verbal communication skills.

High level of discretion, reliability, and attention to detail.

Proficiency in Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint).

Ability to work independently and anticipate needs proactively.
Desirable

Experience supporting technology or engineering leadership.

Familiarity with project coordination or PMO environments.
